Synapse is seeking a skilled Proposal Coordinator to become a vital member of our Marketing & Communications team. The Proposal Coordinator works with the head of the Marketing & Communications team to shepherd opportunities through Synapse’s proposal process. This includes leading proposals from feasibility assessment through contracting, in tandem with consultants and Project Operations staff.

As part of Synapse’s Marketing & Communications team, the Proposal Coordinator also supports the production of Synapse work products and business development materials, including copyediting, formatting, and simple graphic design.

The ideal candidate is mission-driven, extremely detail-oriented, and enthusiastic about finding ways to use AI agents and other tools to free up more time for nuanced tasks.

Job Responsibilities

  • Coordinate Proposal Process
  • Track the company’s incoming and ongoing opportunities to help prioritize efforts and ensure proposal schedules stay on track
  • Coordinate feasibility assessments and approaches along with consultant proposal leads
  • Coordinate conversations between consultant proposal leads, Synapse legal, Project Operations, and/or the Executive Leadership Team, as needed, to reduce risk and ensure proposals adhere to existing company policies
  • Develop proposals and supporting qualifications in collaboration with consultant proposal lead using templates, consultant team input, and AI agents
  • Coordinate copyediting, refining, and reviewing proposals for compliance with RFP and Synapse procedures before sending proposals for approval and submitting to client
  • Track submitted proposals to ensure follow-up and glean lessons learned where applicable
  • With the Marketing & Communications Director, continually refine and communicate proposal templates and process according to best practices—including identifying opportunities for, adapting to, and monitoring appropriate AI processes

Provide Contracting Support

  • During the opportunity phase and on conversion, coordinate with Project Operations team members and consultant project managers to ensure efficient knowledge transfer and set the stage for a streamlined contracting process
  • Working with the Project Operations team and Marketing & Communications Director, continually seek out ways to facilitate the contracting process through workflow improvements and strategic use of AI tools and agents

Support the Production of Work Product and Business Development Materials

  • Assist with preparing Synapse work products and templates through meticulous copyediting, formatting, and basic desktop publishing
  • Support company initiatives and provide additional operational support, as needed

Required Qualifications

  • Bachelor's degree required, preferably in communications, marketing, business, or a related field
  • Minimum 1 year of direct proposal experience, preferably in a project-based organization or professional services industry
  • Strong proficiency with Microsoft Suite, particularly MS Word
  • Strong writing, editing, and proofreading capabilities
  • Excellent interpersonal communication skills
  • Detail-focused, high-level of accuracy
  • Basic knowledge of AI tools, critical human judgement, and continuous learning spirit
  • Strong problem-solving skills and the ability to diagnose and resolve technical issues
  • Strong customer service skills, including the ability to anticipate needs and exercise sound judgement
  • Outstanding project management and organizational skills
  • Ability to prioritize deadlines and work under pressure
  • Demonstrated ability to work with individuals at all levels and departments across a company

Preferred Qualifications

  • Technical proficiency with preferred platforms (or similar) such as Salesforce, Microsoft Suite, Slack
  • Special consideration will be given to candidates with strong AI tool knowledge

The base salary range is $64,000-$116,000 annually, based on a full-time schedule. Our base salary range does not include bonuses. Actual salaries will vary based on various factors including but not limited to location, experience, and performance. Synapse offers competitive market salaries, based on our primary market of nonprofits and government agencies. Our salaries reflect our work for these public interest clients.

We are looking for a candidate to start working in the spring of 2026. Ideally you will be located in the Boston area and work in our Cambridge, Massachusetts office on a hybrid basis.
